Terms of Service
The terms your organisation agrees to by using iPCN.

1. The parties
Who these terms are between
These terms are between Alomco Ltd ("we", "us", "iPCN"), a company registered in England and Wales (company number 11746274, registered office 71-75 Shelton Street, London, WC2H 9JQ, United Kingdom), and the GP practice, PCN, or other primary-care organisation that creates an iPCN account ("you", "your organisation").
2. The service
What iPCN is
iPCN is a practice- and PCN-management platform covering staff records, annual leave, rota, compliance tracking, mandatory training, policies, CQC governance, appraisals, recruitment, and document e-signature — available either as the full platform or as individual standalone modules (eSign, Time Off, Rota, eLearning, Compliance, Recruitment, Appraisals), each reachable at its own address (e.g. esign.ipcn.info).
3. Accounts
Accounts and eligibility
You must be an authorised representative of your organisation to create an account. Each user account is personal to the individual it's issued to and must not be shared. Your organisation is responsible for the accuracy of information it enters and for keeping login credentials secure.
4. Acceptable use
Using iPCN fairly
You may use iPCN for its intended purpose — managing your own organisation's staff and operations. You must not attempt to access another organisation's data, attempt to reverse-engineer the platform, use automated tools to scrape or extract data at scale, or use the service in a way that breaches applicable law (including data protection law in respect of the staff data you upload).
5. Pricing and free tiers
What's free, what's paid
Each module has its own free-usage tier with no card required (for example, free for up to 5 users on Time Off, Rota, eLearning, Compliance and Appraisals; free for your first active vacancy on Recruitment; free for the first 5 documents/month on eSign). Beyond that free tier, each module has its own paid, per-usage price, billed monthly or yearly depending on the module.
A launch discount of 50% off the standard price applies to new paid subscriptions for their first 12 months, after which the subscription reverts automatically to the standard listed price.
Before your discounted or free period ends, we send advance email reminders — starting 3 months ahead, then monthly, then weekly during the final month, then daily during the final week — before your account is locked. If the period lapses without action, your account is locked, not deleted: we retain your organisation's platform and data for a grace period so you can pick up where you left off if you come back (this commonly happens when staff change and the reminder emails are missed).
6. Payment
Billing and payment
Paid subscriptions are billed via Stripe, our payment processor. By subscribing to a paid tier you authorise us to charge the payment method you provide on a recurring basis until you cancel. You can manage or cancel your subscription at any time via the billing portal in your account settings; cancellation takes effect at the end of the current billing period.
7. Data protection
Your data, your responsibility as controller
For most data you put into iPCN (staff records, leave, compliance, appraisals, etc.), your organisation is the data controller and Alomco Ltd processes it on your behalf as a data processor, under the terms of our Privacy Policy.

8. Electronic signatures
iPCN eSign
Documents signed through iPCN eSign are recorded with the signatory's name, email, IP address, and a timestamped audit trail. We believe this constitutes a valid electronic signature for most business documents under UK law.
9. Intellectual property
Ownership
The iPCN platform, its design, and its underlying software are owned by Alomco Ltd. Your organisation retains ownership of the data it puts into iPCN.
10. Liability
Limitation of liability
iPCN is provided to help manage practice and PCN administration. While we work to keep it accurate and available, it should not be used as the sole basis for employment, disciplinary, safeguarding, or regulatory decisions without independent verification. To the maximum extent permitted by law, Alomco Ltd shall not be liable for any indirect, incidental, or consequential damages arising from use of the service.
11. Termination
Ending your account
You may stop using iPCN and close your account at any time. We may suspend or terminate an account that breaches these terms, with notice where reasonably possible. On termination, we retain your data only as described in our Privacy Policy.
12. Governing law
Jurisdiction
These terms are governed by and construed in accordance with the laws of England and Wales, and any dispute is subject to the exclusive jurisdiction of the courts of England and Wales.
13. Changes
Changes to these terms
We may update these terms from time to time. Material changes will be notified to organisation administrators by email or in-app notice before they take effect.
